Processing of personal data in connection with application for employment
Introduction
At Pagero, we handle recruits personal data in connection with applications for employment and in our efforts to find the right candidates, and it is important to us that you as a potential employee feel secure with our handling of your data. We take measures to ensure that your data is protected, and we follow the laws and regulations that apply to the processing of personal data and describe in this document how and why we process your personal data.
The types of data we keep and why
The largest amount of information that Pagero handles about you is information you have provided to us yourself in your application for a role at Pagero, but we may also in some cases handle meeting notes, evaluations and/or input provided by references. The purpose of handling this data is to evaluate you as a potential employee at Pagero, and our legal basis is that the processing is necessary for the legitimate interest of Pagero.
Data:
- Information directly linked to you that you have provided, such as name, telephone number, address and similar information.
- Information about your previous work history and educations.
- Information that you have provided in a cover letter, such as your interests, skills and hobbies.
- Information from references, such as reviews and opinions on your previous performance
The same data as mentioned above is also kept for the purpose of being able to handle claims according to applicable legislation relating to discrimination, such as for example the Swedish Discrimination Act or equivalent. Our purpose to be able to manage claims from a recruit relating to discrimination and protect our legal rights, and our legal basis is that we process personal data to carry out our obligations and exercising our/ your rights in the field of employment.
Background controls
For certain roles, we are required by our customers to perform more in-depth background controls as these roles will have access to sensitive and confidential data. Such roles are for example Support Technicians, Integration Specialists, R&D Developers and Project Managers. You will always be informed during your recruitment process if the role requires a background control and how the control will be performed (the process varies between countries). We only perform such controls with your consent and we do not store any data related to the control except that the control has been performed, but if you choose not to provide your consent we will unfortunately not be able to offer you that specific role. The background control consists of a financial control and a criminal history control.

Parties we may share your data with
Pagero shares your information with different types of recipients, such as:
- System/software suppliers
The systems we use to facilitate the recruitment process are provided by an external party, who can access the information when they provide the system or service to Pagero. These external parties may only process your personal data in order to provide the service and are obliged to ensure that your data is handled securely.
- Recruitment firms/partners
For some roles we may engage an external recruitment firm in our search for our next Pagerian, and depending on the process you may share your CV and personal data with the external firm first and then with us, or we may engage the external firm during the process. You will always be informed if/when an external recruitment firm is involved in your process.
If you have provided us with contact details to a reference, we may share that you are in a recruitment process with us to that reference.
Third country transfers
Our main recruitment system is provided by an EU-based supplier and hosted within the EU, but the hosting provider has a US-based mother company which may constitute a third country transfer. All data processed by the hosting provider is encrypted, and we do not transfer your data to countries outside the EU / EEA unless we have made the assessment that it is appropriate and in accordance with applicable law.
How long do we keep your data?
Information about you is kept for 1 year in our recruitment system unless you have consented to or asked us for a longer storage period.
Your rights
When Pagero is processing your personal information, you have a right to:
Access your data
You have the right to receive a copy of which data we keep about you, and for which purposes we use it.
Right to have data rectified
If Pagero for any reason should have incomplete of incorrect information about you, you have a right to have them rectified.
Data portability
You have a right to receive a copy of your data in a machine-readable format. Please note that this right only relates to information you have provided to us yourself and data that we process based on specific types of legal bases – not all data is covered by this right but we will of course always include as much data as we can and try to adhere to your wishes.
Limitation or deletion of data
When Pagero is undertaking certain types of processing activities, you have a right to ask us to delete the data, or to limit our use of it. However, this does not apply to all information, for example information that Pagero must have in order to handle the employment cannot be limited or removed, as we will then not be able to fulfil our agreement with you.
Complain to a supervisory authority
Should you be dissatisfied with Pagero's handling of your personal data, you always have an opportunity and a right to turn to the responsible supervisory authority and address your concern.
